Improve deliverability

Practical ways to keep campaign email out of spam: warm up slowly, set sending hours, write plain personal emails, check addresses and set up your domain.

Deliverability is whether your email reaches the inbox rather than spam. Most of it depends on your mailbox and domain, so these habits matter more than any single setting.

Start slow and build up

  • With a new mailbox, start at 25 or 50 companies a day and raise it over a few weeks.
  • Signalsant warns you above 200 a day from one mailbox, because that "risks the spam folder".
  • Spread the volume over several mailboxes rather than sending a lot from one.

See Sending pace and schedule.

Send during working hours

Turn on Only send during these hours and use your recipients' timezone. Emails are spaced evenly across the window, which looks more natural than a burst.

Write like a person

  • The Personal note starter, plain text and one-to-one in tone, gets the best deliverability for cold outreach.
  • Keep images, links and attachments to a minimum.
  • Personalise with variables, and give each one a fallback so no email has blank gaps.
  • Rotate two or three versions with Add another email in the campaign's content.

Send only to good addresses

Signalsant checks addresses and skips undeliverable ones automatically. To reach better addresses from the start:

  • build groups from companies that have an email;
  • prefer Verified and Deliverable addresses.

Set up your domain

Ask whoever manages your domain to check that SPF, DKIM and DMARC are set up for the mailbox you send from. Google Workspace and Microsoft 365 have guides for this. These records prove that your mail is really from you.

Avoid contacting the same company too often

  • Keep Allow resends off unless you have a reason.
  • Avoid putting the same companies in several campaigns.

See Resends and rounds.

Check before you launch

Use Send me a test on Review & launch, and Send test email on the mailbox, to see what the email looks like in a real inbox.
